Office Manager/Executive Assistant

Gravity Union is looking for an organized, ambitious, and detail-oriented Office Manager/Executive Assistant to assist our team. This is a full-time (40 hours/week) permanent position, onsite at our downtown Vancouver office.

As our Office Manager/Executive Assistant, you’ll be central to keeping things running smoothy and facilitating a workplace that feels organized, welcoming, and human. You’ll keep the day-to-day office running smoothly while acting as a trusted administrative partner to our CEO. This includes supporting planning, coordination, and follow-through so the team can do their best work. This role is ideal for someone who is highly organized, takes pride in being dependable and detail-oriented, and takes pride in maintaining a welcoming work environment.

The expected base salary range for this position is $50,000-$60,000, but remains flexible depending on the candidate’s unique skills and experience. The determination of a candidate’s base salary within this range is based on the individual’s location, skills & competencies, and unique qualifications. In addition, we offer a comprehensive benefits program.

Your day-to-day includes:

  • Oversee day-to-day office operations and ensure a smooth and efficient work environment

  • Provide dedicated administrative support to the CEO, helping manage schedules, priorities, and day-to-day coordination along with supporting additional departments as required

  • Act as a trusted partner to the CEO by tracking action items, deadlines, and follow-up

  • Support meeting preparation for the CEO, including agendas, notes, and materials as needed

  • Assist in the preparation and submission of expenses for the CEO

  • Support People & Culture activities, events, and initiatives

  • Serve as a liaison for team members and clients related to office maintenance, facilities, and vendor coordination

  • Manage data entry and upkeep of internal trackers, spreadsheets, and tools

  • Support the team with relevant internal communications

  • Coordinate meetings, marketing events, social events, travel arrangements, and organize required materials across departments

  • Coordinate weekly in-office lunches

  • Keep the kitchen stocked with snacks and beverages

  • Welcome guests, answer the phone, manage mail, deposit cheques, and keep the office tidy

  • Take care of our office fish

  • Other office management duties as required

Are you the one?

  • College diploma and a minimum of two years of administrative experience

  • You are a people-person and enjoy connecting with others

  • You’re a self-starter who loves learning and figuring things out

  • You can communicate clearly and confidently, both written and verbal

  • Advanced computer skills with Microsoft Office products including Outlook, Excel, PowerPoint, and Word

  • You stay calm under pressure and don’t sweat the small stuff

  • You’re adaptable and go with the flow when things change

  • Have strong judgement, attention to detail, and follow-through

  • You’re curious about technology - or at least what technology can do for people

  • You know how to have fun!

Icing on the cake

  • Working experience in a technical consulting or SaaS environment is a plus

  • MS-900: Fundamentals certificate or other Microsoft certifications
